Already hold a sponsor licence?

Keeping it depends on meeting your duties every day, not only when the Home Office visits.

For Employers

Sponsor Licence Compliance

Sponsor duties

  • Keeping required records for each sponsored worker
  • Reporting changes and absences within the time limits
  • Sponsoring only genuine roles at the correct pay
  • Carrying out right to work checks
  • Keeping key personnel and company details up to date
  • Co-operating with the Home Office

What has to be reported

Certain events must be reported through the sponsorship management system within set time limits.

  • A sponsored worker does not start or stops working for you
  • Significant changes to the worker's role, pay or place of work
  • Unauthorised absences
  • Changes to the business, such as a sale, merger or new address

Compliance visits

Officers may inspect files, interview managers and speak to sponsored workers. Visits can be unannounced. A mock audit beforehand shows where the gaps are while there is still time to fix them.

Changes to business circumstances

Takeovers, restructures and relocations can affect the licence and the workers sponsored under it. Report them correctly and on time.

How the process works

Sponsorship work normally begins with the organisation itself: what it does, who it needs to employ, and whether its HR systems can meet sponsor duties.

  • Tell us about the business and the roles you need to fill
  • Have your eligibility, documents and HR systems reviewed
  • Prepare and submit the application or response
  • Put processes in place to keep the licence in good standing

Frequently asked questions

01What happens if we miss a reporting deadline?

Isolated lapses may lead to an action plan or a downgrade. Serious or repeated breaches can lead to suspension or revocation.

02How long must we keep records?

The sponsor guidance sets retention periods for each type of document. Follow them for every sponsored worker.

03Who is responsible if HR makes a mistake?

The licence holder. The Authorising Officer remains responsible for the actions of everyone using the system.
